Delta Joinery Ltd is a kitchen design, supply and installation company registered in Scotland, company number SC806128. Registered office: 27 Station Road, Uphall, West Lothian, EH52 5DX. This policy covers what we collect when you visit this website, make an enquiry, or have a kitchen designed, supplied or fitted by us.
1. What we collect
- When you enquire – through the contact form, by phone, email or WhatsApp: your name, email address, phone number, and whatever you tell us about your project – usually including the job address and postcode.
- When we quote and you become a customer – the details needed to design, price and fit your kitchen: room measurements, photographs of the space, design drawings, supplier documents for your job, quotes, invoices and payment records.
- When we send you a document online – quotes, estimates and invoices are sent as secure links through our portal. We record when a document is opened, downloaded, accepted or declined, with the IP address and browser used, as evidence of what was sent and agreed. The portal has its own short privacy notice at quotes.deltajoinery.com/privacy.
- Contact form security data – the IP address and browser type of each submission, kept to prevent spam and abuse.
Most of this comes from you directly. The document-tracking and security data is recorded automatically by our systems, and supplier documents for your job come from the kitchen supplier. We do not run analytics or tracking on this website.
You don’t have to give us any of this information, but without your contact details and the job address we can’t quote for or fit your kitchen.
2. How we use it, and the lawful basis
- Replying to your enquiry and preparing your quote – steps taken at your request before a contract.
- Designing, supplying and fitting your kitchen, and managing the job – carrying out our contract with you.
- Keeping invoices and accounting records – our legal and tax obligations.
- Running our website and systems securely, and keeping evidence of what was agreed – our legitimate interests.
We do not send marketing emails or newsletters. We only contact you about your own enquiry or job.
3. Who we share it with
We do not sell or trade your information. We share it only where the job or the law requires:
- Suppliers and trades working on your job – for example, your address to a delivery firm, or to an electrician or plumber we co-ordinate, where your job needs them.
- The companies that run our systems – our portal host (servers in the Netherlands), our email delivery provider (Ireland), and Google Workspace (business email and job files). They process data only on our instructions.
- AI software – we use AI tools to help read supplier documents and draft quote text. Limited job details may be processed by the provider in the United States (see section 4). We share only what the task needs. If you’d rather we worked on your job without AI tools, tell us and we will.
- WhatsApp (Meta) – if you choose to message us there, your messages are handled by WhatsApp under its own terms and safeguards.
- Review widgets – pages showing customer reviews load widgets from TrustATrader and Trustindex, so those providers receive your IP address when the page loads. See our Cookie Policy.
- Authorities, where the law requires it.
4. Where it’s held
Our portal and email systems hold data in the European Economic Area; transfers to the EEA are covered by the UK’s adequacy regulations. Two providers may process data in the United States: Google, under its certification to the UK Extension of the EU-US Data Privacy Framework, and our AI software provider, under standard data-protection clauses approved for UK use. Contact us if you’d like details of these safeguards.
5. How long we keep it
- Enquiries through this website, and quotes that aren’t accepted – deleted automatically within 2 years, or sooner if you ask.
- Enquiries by phone, email or WhatsApp – deleted once they’re no longer needed, and on request.
- Invoices and accepted quotes – kept for 7 years (HMRC record-keeping).
- Job files (measurements, photos, drawings) – kept while we may need them for warranty or follow-up work, and deleted on request.
6. Your rights
You can ask us for a copy of your information, to correct it or delete it, to restrict how we use it, or to receive it in a portable format. Where we rely on our legitimate interests, you also have the right to object – tell us and we’ll stop unless we have compelling grounds to continue.
Email andy@deltajoinery.com – we’ll respond within 1 month, free of charge. If you’re not happy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
7. Cookies
This website sets no cookies for visitors. The customer-review widgets on some pages load from their providers and may set their own – see our Cookie Policy.
8. Changes
We’ll update this page when anything changes, with a new date at the top.
